If you're like me, you're always looking for ways to streamline your outbound calling processes. The last thing you want is to spend time thinking about who to call and when to call. When it's time to dial, I just want to jump in and get to it.

Today, we’re pulling everything together from the Advanced Search training module. We’ve covered each section in detail. Now we’ll use those tools to create a streamlined, repeatable process so you never lose track of a contact.
Step 1: Call 1 – New Contacts
In the Advanced Search, start with the Folder section. I recommend putting all new leads in the Contacts folder—which every PhoneBurner account includes by default.
Go to the Dial Session section:
- Set Total Calls = 0.
- Click Search.
This returns all contacts that have never been called—your "Call 1" list. Save this search as “Call 1”.
Step 2: Calls 2 Through 11 – Follow-Up Calls
Back to Advanced Search:
- Folder: Contacts.
- Total Call Attempts ≤ 10 (we’ll do 11 total calls).
- Last Called: Before X Days Ago = 2 (at least 2 days between calls).
Click Search and save this search as “Call 2–11”.
This search gets reused daily. As time passes and calls are made, contacts will automatically cycle into this list if they haven’t hit their 11-call max.
Step 3: Nurture Campaign – Long-Term Follow-Up
Advanced Search:
- Folder: Contacts.
- Total Call Attempts > 10.
- Last Called: Before X Days Ago = 30 (space out follow-ups to once a month).
Click Search and save as “Nurture”.
These are leads who didn’t respond during the first 11 calls but may still be valuable. Keep checking in monthly to stay on their radar.
Step 4: Today’s Follow-Ups – Time-Sensitive Calls
Don't forget about Today’s Follow-Ups—a saved search that shows:
- Contacts in the Follow-Up folder.
- With a follow-up date due today or earlier.
Check this list at least twice daily (morning and end of day). You can even use it mid-day to catch any contacts you tagged to “call back later today.”
Managing the Process
After building your saved searches:
- Go to Manage Saved Searches.
- Pin them so they appear on the top-left for quick access.
Each day:
- Start with Call 1—select all, begin your dial session.
- Then move to Call 2–11.
- Then to Nurture.
- Finally, check Today’s Follow-Ups.
If contacts are dispositioned out of the Contacts folder (e.g., they’ve scheduled an appointment, are not interested, etc.), they’re removed from this process automatically.
This setup keeps your data organized and your process consistent. You’ll never lose a contact, and you’ll always know where each lead is in your workflow.
