Hopefully when you signed up for PhoneBurner, you noticed a saved search in the Quick View section called “Today’s Follow-Ups.” This is created by default for all new customers because we know how important follow-ups are.
In this video, we’re diving into how this saved search works, how to edit or update it, and what’s included by default.
As you can see, I’ve selected “Today’s Follow-Ups,” and it shows all contacts with a follow-up date that is due or past due. But how do we know that's what it's showing?
Let’s click on Edit Saved Search. In the Management Information section, you’ll see the follow-up date is set to Today and Before. But that’s not all. It’s also limited to contacts in the Follow-Up Folder.
Why? Let’s say you spoke with Johnny Prospect in the past, set a follow-up, and it’s now due. When you call him again and he says, “I’m not interested,” you might use a “Not Interested” disposition. That moves him into the Not Interested Folder.
If our saved search only used the follow-up date without the folder filter, Johnny would still show up in Today’s Follow-Ups—even though he told you no. To avoid that, we include the folder condition to ensure the contact is still considered “active” for follow-ups.
Now, what if you wanted to automatically clear follow-up dates? You can set this up using Dispositions. For example, you could configure the “Not Interested” disposition to remove the follow-up date when clicked. This keeps your saved search clean and prevents manual updates.
Of course, you can always manually remove the follow-up date. Go to the contact record, clear the date, and save it—but that’s a lot of clicks. We’re all about efficiency, so automation helps here.
Let’s say I set a new follow-up date for a contact, John Adam, to tomorrow. He won’t show up in Today’s Follow-Ups today—but he will show up automatically tomorrow when the date matches.
A Quick Note on Layouts
You may notice the layout for Today’s Follow-Ups looks a bit different. That’s because it uses a custom layout called “Follow-Up,” which shows key fields like:
- Notes
- Star rating
- Follow-up date (highlighted red if overdue)
To see or edit this layout:
- Click the gear icon in the top right
- Go to Layouts
- Look for “Follow-Up Layout” to customize it
You can add or remove fields to make sure the information most important to you is visible at a glance. We’ll talk more about layouts in future training.
