Wouldn't it be nice to have a simplified, streamlined process you can follow every day, whether you're working a new lead list or real-time leads? That’s exactly what we’ll discuss in this training—and it’s possible using the Advanced Search feature in PhoneBurner and by creating Saved Searches.
If you’ve been following along in this training module, we’ve covered the Advanced Search feature in depth. Now, you might have noticed the Quick Views on the left-hand side. These are all saved searches that help me systematically work through data.
And no, these aren’t just buzzwords. This is real, actionable process building—what PhoneBurner does best.
Step 1: Define the Starting Point
Let’s say every time you import new contacts, you put them in the Leads folder. That becomes your process starting point. Whether you use a custom folder or the default “Contacts” folder, you just need consistency.
So now:
- Open Advanced Search
- Go to the Folder section and select "Leads"
- Then, go to Dial Session and select Last Called: Never
This will give you all new contacts in the Leads folder who haven’t been called yet. Save this as "Leads Call 1".
Step 2: Pin and Organize Saved Searches
After saving, pin the search to your dashboard by clicking the pin icon. These pinned searches become your daily workflow path.
Step 3: Build a 7-Call Sequence
Now create Leads Call 2, Call 3, etc., by tweaking the Total Call Attempts and Last Call filters. For example:
- Call 2: Total Call Attempts = 1, Last Called = Before 0 Days Ago
- Call 3: Total Call Attempts = 2, Last Called = Before 1 Day Ago
- Call 4: Total Call Attempts = 3, Last Called = Before 2 Days Ago
- Call 5: Total Call Attempts = 4, Last Called = Before 4 Days Ago
- Call 6: Total Call Attempts = 5, Last Called = Before 6 Days Ago
- Call 7: Total Call Attempts = 6, Last Called = Before 7 Days Ago
Name and save each one as "Leads Call 3," "Leads Call 4," etc., and pin them for easy access.
Step 4: Create a Nurture Bucket
After 7 calls, you don’t throw those leads away. Instead, you nurture them.
Create a saved search:
- Folder = Leads
- Total Call Attempts ≥ 7
- Last Called = Before 30 Days Ago
Name this one "Leads Nurture" and pin it as well.
Step 5: Daily Workflow
Each day:
- Start at Leads Call 1, select all, begin a dial session.
- Move through each saved search down to Leads Nurture.
- If all searches are empty, it means your lead flow is low—time to import more leads.
You never have to guess who to call. If the lead is still in the Leads folder, it's still viable and ready to work.
Final Thoughts
This structured approach can be repeated for multiple campaigns—just create new folders and follow the same logic.
