That’s a great question—and yes, using the Advanced Search feature in PhoneBurner, you can absolutely pull that list.
This training is part of our Advanced Search training module, and in this session, we’re diving into the Management Information section, which helps you fine-tune your contact searches and improve efficiency.
Let’s get started.
⭐ Star Rating
In the Management Information section of Advanced Search, the first filter is Rating. To find all five-star contacts:
- Click the Rating dropdown.
- Choose Five Stars.
- Hit Search.
Boom—you now have a list of all your contacts with a five-star rating.
There are two main ways to apply a star rating to a contact:
- Directly within the contact details screen.
- Automatically via disposition settings during call sessions. For example, if you book an appointment with someone, you may want that contact automatically marked as a five-star lead.
📝 Description
Next is the Description field. This field supports a large amount of data, and it’s fully searchable. You don’t need wildcards—just type a keyword.
Example: If you type "top" into the description search, you’ll find every contact where "top" appears anywhere in the description.
🗒️ Notes
Use the Notes field to find keywords in notes you've taken during calls. Say you typed “buy” when someone expressed interest—you can search for "buy" and locate those contacts.
Want to narrow it further? Add a date filter—like "notes containing 'buy' between last Monday and today"—to refine your search even more.
🔄 Transferred Contacts
If you’re a team admin, you might want to locate contacts that have been transferred between team members. This section lets you search by:
- Whether a contact was transferred
- Transfer date
- Who it was transferred to or from
📥 Source
This is a big one for data hygiene and organization. If you’re importing contacts, always tag them with a source. That way, you can later filter by it.
Example: Select "Zapier" as a source in Advanced Search, hit search, and it’ll pull every contact that came from a Zapier Post.
📅 Date Filters
You have three important date filters:
- Date Added: When the contact was first entered into PhoneBurner.
- Date Updated: When any field was last modified—especially useful if using API tools like Zapier or HubSpot.
- Follow-Up Date: Critical for time management. You can filter for contacts whose follow-up is due today, before today, or within any custom range.
If you're managing a sales pipeline, using "Today and Before" is great—it captures anything due now or overdue.
🆕 New/Unviewed
When contacts are imported, they get tagged as New. You can:
- Search for new contacts
- Remove the “new” status manually or automatically when you view the record
- Re-tag contacts as new if needed
🚫 Do Not Call (DNC)
You can also filter by DNC status. Each user (or team) has a personal or shared Do Not Call list. Most people add contacts to this list via call dispositions, but you can also manage it manually.
If you want to see who’s on your DNC list, simply run a search for contacts with DNC = Yes.
