Hopefully, you’ve been watching the full advanced search training module and have become familiar with all the features available to you. In this specific training, we’re going to take things a step further by exploring a powerful feature in PhoneBurner that many of you are already using: sending an email after a phone call, based on the disposition you select. Ideally, you're already leveraging this functionality.
But there's another layer to this you might not be aware of—the ability to include trackable attachments using our SmartSender® feature. SmartSender® lets you upload content into the PhoneBurner system—videos, audio files, images, documents, links—and then include those items in your emails. Our system will track whether the recipient accesses the file.
One of the most popular SmartSender® features is uploading a video and tracking whether the recipient starts and finishes watching it.
So today, we’re going to talk about how to use email tracking and SmartSender® in PhoneBurner to identify high-interest contacts that you may want to prioritize.
Let’s jump over to Contacts and open the Advanced Search section. Here, you’ll find an option called Contact Activity. Hopefully, you’ve already seen the training on this feature and have a general understanding of what it offers.
We’re going to tie all this together to build a saved search that helps you zero in on specific contacts—ones you might want to follow up with daily or weekly.
If you’re calling and sending emails daily, you might want to identify contacts who interacted with your emails yesterday—for example, those who clicked a link or started watching a video. That way, you can prioritize calling those warm leads before making any other calls.
Open the Folder section in the search builder. You don’t want to just search for anyone who did something; you want to filter by those in a specific folder—whether that's your Leads folder, Contacts folder, or another one you’re actively using for prospecting.
From there, you can build criteria like this: "Started watching a video exactly 1 day ago." Enter “1” in the date field and hit Apply.
That gives you a filtered view of engaged contacts. You can save this search—let’s name it Video Started—and use it as a daily view. Maybe each day, you call these people and say something like, “Hey, I saw you started watching the video yesterday. What did you think? What stood out to you?”
This is another powerful way to use advanced search in PhoneBurner to focus your time and energy on the contacts most likely to convert.
Once you've defined your criteria, it doesn’t have to be limited to video tracking. Maybe you only care if they opened an email or clicked a link to access your resources. The system will help you identify which contacts are interacting with your content so you can follow up in a timely and targeted way.
