Sometimes, as an admin, you just need a report that summarizes what your team has done during a specific date range. That’s exactly what we’ll be covering in this training—how to create a Team Summary Report in PhoneBurner.
Creating the Team Summary Report
Start by clicking on the Reports tab at the top.
From there, you’ll see both standard reports and any custom reports you’ve previously created.
In this case, we’re creating a new custom report.
Click Add Report, and name it something like New Team Summary.
(You can add a description, but I’m skipping that for now.)
For Report Type, change it from Member Detail to Team Summary.
💡 Tip: When you select “Team Summary,” you’ll notice that some features, like the call graph, disappear. That’s expected behavior.
Next, set your default date range. Options include:
- Today
- Yesterday
- Last Week (Monday through Friday)
- Last Month
- Past 7, 30, 60, 90, etc. Days
- Month-to-Date
- Year-to-Date
I’m going to set mine to Last Month.
You can also choose between light or dark leaderboard themes and decide whether to rotate leaderboard fields (I’m not enabling that here).
Click Save.
Adding Fields to the Report
On the left, you’ll now see three tabs: Fields, Seats, and Email Delivery.
Click on Fields.
You’ll notice Agent’s Full Name is listed, but since this is a team summary, that’s not needed—go ahead and delete it.
Now, let’s add useful fields to this report. Click Add New Field and choose your data point type.
Here are some field types you might use:
Sum/Total (for high-level metrics)
- Total Calls
- Total Talk Time
- Total Session Duration
- Total Emails
- Total Live Answers / No Answers
- Total SMS Messages
- Total Voicemails
Dispositions
These represent the statuses associated with the buttons your team clicks during dial sessions (e.g., “Appointment Booked,” “Not Interested,” etc.).
You can add a field like Appointment Booked to see how many appointments were set.
Calculations
- Average Session Duration
- Average Talk Time
- Percentage of Connected Calls
- Percent Interested (only works if you use “Interested” as a status)
🔎 Keep in mind: You can rearrange the order of fields via drag-and-drop after adding them.
Seats Tab (Team Summary Specific)
In a Team Summary Report, the Seats tab isn’t editable—because this report is not broken down by individual users. It pulls total team performance, so no need to assign individual seats here.
Setting Up Email Delivery
You can choose to receive the report:
- Daily: You'll get an email every morning with yesterday’s activity.
- Weekly: Select a day of the week to receive the past 7 days of data.
- Monthly: Select a day of the month to receive the past 30 days of data.
💡 Want to receive weekly data every day? Just set up weekly delivery for every weekday.
Want a monthly report every day? Add 31 deliveries—one for each day.
You can also add other recipients, such as team leads or executives, so they receive a copy as well.
Viewing the Team Summary Report
Once created, go back to the Reports tab and find your New Team Summary Report under Custom Reports.
Click on it and you’ll see:
- A high-level view of the team’s total activity for the selected date range
- Example: 681 calls, 107 conversations, 28 appointments, etc.
You can always change the date range in the report view.
Comparing to Member Detail Reports
To illustrate the difference:
- A Member Detail Report breaks down metrics by each team member
- A Team Summary Report is an aggregate view of team activity
You may notice the summary section in Member Detail Reports has a limit to how many fields it can show (around 5–7). Team Summary Reports don’t have that same limitation, allowing for more comprehensive reporting—though adding too many fields may reduce readability.
