Here at PhoneBurner, we believe it’s very important to track the activities done to and by your contacts and leads. That’s why we give you multiple ways to view and manage this activity—like the Activity Tracker, which allows you to search for contacts based on specific activities and generate reports tied to those actions.
Your team might be:
- Using PhoneBurner’s calendar to book appointments
- Making calls
- Sending emails
- Using SmartSender to send trackable attachments (like PDFs, videos, or links) and track views, engagement duration, and completion
In this training, we’ll walk through how to report on contact activities using PhoneBurner’s reporting tools.
Step 1: Create the Report
Click the Reports tab at the top and then click Add Report.
- Name: New Activity Report
- Type: Leave as Member Detail to break results down by each team member
- Date Range: For this demo, I’m using the last 365 days since it’s a test account with limited data. You can choose a range like Today, Last Week, Month-to-Date, Year-to-Date, etc.
- Leaderboard: Skip for now
- Graph: Yes (this will show call activity only, not all activities)
- Rotate Leaderboard Fields: Set to No
Click Save.
Step 2: Customize the Fields
Click on Fields in the left-hand menu.
By default, several fields are included. Since we’re focusing purely on activity:
- Keep the Agent Information (we want to know whose data we’re looking at)
- Delete metrics like Average Talk Time and Call Totals—we’ll replace them with Activity Types
Now, add new fields by selecting:
- Type: Activity
- Choose the specific activities you want to track.
Some example activity types you can include:
- Appointment Scheduled (from the calendar, not disposition-based)
- Dial Session Call (calls placed through a dial session)
- VPhone Outbound (click-to-call outside of dial sessions)
- One-Touch Emails Sent
- Email Opens (Note: opens can be unreliable due to email client tracking filters)
- SmartSender Pickups
- Video Started (from SmartSender)
You can choose whether or not to include each one in the summary view.
Once you’ve added all desired fields, you're good to go.
Step 3: Assign Seats
Click on Seats to define which users are included in the report.
- You can include all current team members
- Optionally include suspended seats (helpful for accurate historical reporting)
- If it’s just you, no changes are needed
Click Save.
Step 4: Set Up Email Delivery (Optional)
PhoneBurner offers three types of email delivery for reports:
- Daily: Sends yesterday’s activity
- Weekly: Choose the day of the week; shows the past 7 days
- Monthly: Choose the day of the month; shows the past 30 days
You can add multiple deliveries (e.g., one for each weekday) and even send reports to other email addresses.
Note: You’ll always receive a copy of the report by default.
In this demo, we’re skipping email delivery—but the flexibility is there if you need it.
Step 5: View Your Report
Go back to the Reports tab, and find your New Activity Report.
You’ll see:
- A graph showing dial session call data
- A summary showing activity totals for the selected timeframe
- A breakdown by agent, showing:
- Appointments scheduled
- Dial session calls
- Click-to-call calls
- One-touch emails sent
- Email opens
- SmartSender pack pickups
- Video starts
This allows you to track various engagement types across your team and identify who is driving the most activity—and where that activity is happening.
Final Thoughts
This activity report helps you:
- Understand what types of engagement your team is having
- Evaluate usage of tools like SmartSender, one-touch email, and click-to-call
- Spot trends or coaching opportunities across team members
You can add activity fields to other report types too, but this training focused specifically on activity-only reporting.
