Hello there, this is Jeff Osness, the Principal Evangelist over here at PhoneBurner. Today, I want to talk to you about a new feature in the system called the supervisor role.
Before we dive in, please note this isn’t a super polished video—it's the first walkthrough to show you the current state of the feature so you can start using it right away. I’ll be creating more polished videos in the future, but this one’s meant to be quick and practical.
Overview of Supervisor Role
Many of you who are team leaders or admins have asked for a way to create different supervisors or roles. This is our first step in that direction.
When you log into your admin account, you’ll notice some changes:
- The My Team page no longer contains Reports and the Live Dashboard.
- The Live Dashboard is now the My Team tab.
- Reports have been moved to their own, more prominent tab in the main header.
Accessing Team Settings and Users
To manage supervisors and their groups:
- Click the gear icon on the right-hand side of the Team tab, or
- Click your initials → Settings → Team.
This brings you to the Users page, now located within Settings since it's used to manage users and their permissions.
Here you’ll see all users and a new option on the left-hand side called Groups.
Creating and Managing Groups
Click Groups and then Add Group. For example:
- Create a group called Openers and add users like Shine, Sarah, Gary, and Johnny.
- Create a Closers group and add users like Liz and Tina.
You can go back and edit or delete groups anytime.
Assigning Supervisors to Groups
Go back to your User list and choose a supervisor. For example, let’s assign Heather:
- Edit Heather’s profile.
- Toggle on Manage Groups to designate her as a supervisor.
- By default, she’s assigned to the "All Users" group.
- Change that to Openers (or any group you’ve created).
- Choose permissions:
- Live Dashboard
- Login as Users
- Manage Reports (standard reports only; custom reports not yet supported)
- Search Contacts
Everything autosaves—no need to hit a save button.
Repeat similar steps for Cassie (e.g., Closer Supervisor) but limit her permissions (e.g., no access to reports or contact search).
Supervisors Over All Users
Let’s say Larry needs to oversee all users:
- Edit Larry’s profile.
- Toggle on Manage Groups.
- Assign him to “All Users” or create a Super Group (which includes everyone).
- Enable all permissions.
Now, Larry can see activity across the entire team (except the admin—you). If you want Larry to see your admin activity, include yourself in the Super Group.
Supervisor Experience
When Larry logs in:
- He sees the Team tab with all users, including the admin (if added to a Super Group).
- He can access all standard reports: Dial session history, disposition summary, leads by source, SMS usage.
- He can log in as any user except the admin.
- In Contacts, he can perform team-wide searches and manage contacts (transfer/export).
For Cassie, with limited permissions:
- No access to team-wide contact search.
- No Reports tab.
- Sees only users she supervises.
- Can still log in as her users and search within their individual accounts.
