Hello there! Thank you for taking a moment to watch this video. In this training, we're continuing the topic of custom field mappings between HubSpot and PhoneBurner®.
This is actually an update video because when I originally recorded this training, it wasn’t possible to perform a two-way sync between dropdown fields in HubSpot and PhoneBurner. Since then, the HubSpot team has made improvements that now make this possible—and I want to walk you through the process.
Background:
Originally, I created a sync between HubSpot’s Lead Status field (a dropdown) and a text field in PhoneBurner. That worked one-way but was not ideal.
Let's Fix That:
First, go into your custom fields in PhoneBurner and create a new field. I named mine “HubSpot Lead Status - DD” and selected the dropdown field type.
Now we need to match the dropdown options from HubSpot exactly. To do this:
Go to Settings > Properties in HubSpot.
Search for “Lead Status” and view/edit the field to see all available dropdown options.
Copy and paste each label (not internal values) into the new PhoneBurner dropdown field.
🔄 Important: HubSpot will match labels automatically. Internal values do not need to be copied.
Now is also a good time to add any additional options you plan to use, because once the sync is live, you’ll need to manually update both systems and resave the sync if new options are added later.
Once your new dropdown field is set up in PhoneBurner:
Go back to your Sync Settings.
Locate the Lead Status mapping.
Edit it and change the mapping to your new “HubSpot Lead Status - DD” field.
You’ll now see new sync options: Two-way, HubSpot to PhoneBurner, and PhoneBurner to HubSpot.
Choose your desired sync direction and click the ✔️ checkmark to confirm.
Then, click Next > Next > Review > Save and Sync.
Now, the system will begin syncing between the two fields.
Let’s Test It:
We went back to the contact “Johnny Prospect,” originally set to “Unqualified.” After updating the PhoneBurner dropdown to “In Progress,” and refreshing, we saw that the change took effect. (Note: updates may take 5–10 minutes to reflect in HubSpot depending on database activity.)
Adding a New Option:
If you want to add a new dropdown option, follow these steps:
Add the value in PhoneBurner’s dropdown field.
Then go to HubSpot > Properties, find Lead Status, and add the same option.
Once both systems have the new option, resave your sync to prompt HubSpot to recognize and apply the change.
In our example, we added “Waiting on Decision Maker.” After syncing and refreshing, the update was confirmed live on both platforms.
