Imagine being able to notify all of your top closers in real-time whenever a lead that’s in progress, newly attempted to contact, or recently opened reaches a likelihood to close greater than 90%.
Once you've configured your integration between HubSpot and PhoneBurner, setting this up is simple with a combination of a workflow, sync settings, and a lead stream.
Here's how it works:

Create a Workflow in HubSpot:
- Build a workflow that triggers when a contact meets the desired criteria.
- The workflow moves the contact into a specific folder in PhoneBurner.

Configure a Lead Stream in PhoneBurner:
- Set up the lead stream to notify your top closers when a new prospect gets added to the stream.
Let's go ahead and publish this workflow so you can see it in action.
Here, I have four contacts that currently qualify. I'll enroll them into the workflow, and once the system processes those changes, you'll see a notification in PhoneBurner confirming they now qualify.
All reps assigned to this lead stream will receive a notification, and the fastest one to claim the lead will get the opportunity to call them right away.
Since multiple leads qualify, once I claim one, it’s removed from the pool, leaving the remaining leads available for other reps.
Now that I've claimed this lead, I can either click to call or start a single contact dial session. Let’s go ahead and click to call.
Once connected, I can have my conversation and close the deal. Afterward, I can disposition the contact appropriately.
For instance, if I need to follow up, I’ll select Follow-up, set a follow-up date, and confirm the disposition.
This contact will now move into my follow-up folder with their updated status and follow-up details. Any changes I make to this record will automatically sync back to HubSpot according to my sync settings.
If one of my reps claims a lead and the contact doesn’t answer — no worries! We can set up recycle rules in PhoneBurner to ensure that after a set period, the contact is returned to the pool or moved into another pool for other reps to attempt contact.
