At this point, hopefully you’ve seen several of our LeadStream videos and are beginning to understand just how powerful LeadStream can be in helping your organization connect with more people in less time using the power of PhoneBurner. It makes it incredibly easy for your team to power through their calls.
Let’s take the Blind Pull LeadStream as an example. If it’s configured properly, all your team needs to do is sign in, connect to the system, and begin making calls. The system will start feeding them contacts—one after another. If someone doesn’t answer, they move on to the next call.
But what happens if the contact that enters the LeadStream doesn’t have a phone number? Maybe they fill out a form with their name and email but skip the phone number. That contact would end up in the distribution folder for, say, your “Hot and Fresh Leads” LeadStream. Obviously, without a phone number, the system can’t place a call.
So should we even waste our caller’s time with that contact?
What if someone submits a clearly fake phone number like 1231234567, just to get past the form? Or what if they enter a number that’s already on your team’s Do Not Call (DNC) list? We definitely don’t want our team wasting time on those.
PhoneBurner has built-in logic to prevent your team from dialing those kinds of contacts. The DNC system works whether you’re using LeadStream or not—we won’t let your team call a number on your DNC list. But if those contacts are entering a LeadStream, we go a step further. We segment those uncallable contacts into what’s called a Review Folder.
Here’s how that works:
I just added a few test contacts with no phone numbers or invalid numbers. If I start a dial session in a Blind Pull LeadStream, those contacts should be my next calls. But as you’ll see, they’re not. Let’s mark one call as “Set Appointment” and move on to the next. You’ll notice that none of those invalid contacts are getting called.
I’ll make a few more calls just to show the pattern. Now, let’s end the dial session. As a caller, I only see a summary of the calls I actually made. I don’t see any of the skipped contacts—just the valid ones I called. That way, callers stay focused and undistracted.
But as an admin, I probably do want to know what was skipped.
Let’s close the dial session and go back to the PhoneBurner Contact Manager. After refreshing, you’ll see that the system automatically created two new folders. The first one is the Lead Review main folder. This folder will generate subfolders for any LeadStream that brings in skipped contacts.
For example, in our case, we have a folder named Review – Hot Fresh Leads. It’s a subfolder under the main Lead Review folder and corresponds to our Hot Fresh Leads LeadStream. There will only be one main Lead Review folder, but potentially many subfolders—one for each LeadStream that brings in invalid contacts.
Let’s open one of those skipped contacts. The first contact, named “New Contact,” has no phone number and a note saying “There are no valid phone numbers.” That’s why it was skipped in the dial session.
The next contact has the fake number 123123456, which is not a valid domestic number. Again, there’s a note explaining the issue.
If a phone number is technically valid but appears on your DNC list, the system will also skip it and leave a note saying the number is on your team’s DNC.
This way, as an admin, you can clearly see why each contact was skipped and decide how to handle it. If you’re getting leads from a vendor, you might want to contact them about missing or bad data. If a form on your website is the source, and the lead left a good email, you might want to reach out and request a working phone number.
The important part is that PhoneBurner ensures your callers stay focused on callable leads—and uncallable ones are sent to you for follow-up as needed.
