There are several ways you can do that, but in this video, we’re focusing on LeadStream®, and specifically the Receiving Folder—an essential part of every lead stream.
📂 What Is a Receiving Folder?
Let’s start with a quick refresher:
LeadStream® is a tool that allows you, as an admin, to configure different automated ways of distributing leads to your team. This is different from manually importing leads into reps' accounts or transferring them directly.
Each LeadStream has a Receiving Folder—this is the folder where the lead lands in the rep’s account once it’s been distributed.
Let’s go to Contacts → click the gear icon → then go to LeadStream.
If you’ve already watched the video on Distribution Folders, you’ll know that’s where you, the admin, place leads to be distributed.
Now, depending on the type of LeadStream, how the lead gets moved into the Receiving Folder varies:
🚦 LeadStream Types and How Leads Enter the Receiving Folder:
- Blind Pull:
Leads stay in the Distribution Folder until a rep calls the contact. Once that happens, the lead moves to their Receiving Folder. - Preview Pull:
The lead remains in the Distribution Folder until claimed by a rep. Once claimed, the contact moves into the Receiving Folder. - RoundRobin:
Leads are distributed as soon as they’re available and team members are eligible. Leads automatically move into a rep's Receiving Folder. - Lead Blitz:
Similar to Preview Pull. Leads are claimed and then moved into the rep’s Receiving Folder.
🔐 Folder Configuration & Locking
Let’s go deeper into Receiving Folder settings.
Receiving folders can:
- Be shared across multiple lead streams.
- Be unique per lead stream.
- Be locked or unlocked by the admin.
For example:
- In the Hot and Fresh lead stream, leads are only moved into the “Hot and Fresh Receiving” folder once someone starts dialing.
- That folder is locked, so users can’t change where their leads go.
If I start a dial session, the moment I click Start Dialing, that lead is pulled from the Distribution Folder into the locked Receiving Folder—even before the call connects.
If I disposition the call into a different folder (like “Follow-Up”), the lead leaves the Receiving Folder.
🧩 Preview Pull Example
In the Preview Pull LeadStream, leads stay in the Distribution Folder until claimed. Once claimed:
- They go into the Receiving Folder.
- Since I didn’t lock the folder in this case, the user can choose a different receiving folder.
However, as an admin, I can lock the folder for specific team members. For example, I can make Heather’s receiving folder “Sample Contacts” and lock it. Once I do that:
- When Heather logs in and looks at the lead stream, she sees “Sample Contacts” as her receiving folder.
- She can’t change it.
🔄 Folder Locking for Workflow Consistency
Why is this useful?
Locking folders allows you to create consistent workflows using features like Saved Searches. For instance:
- If you always know that leads from a specific lead stream go into a specific folder, you can build a saved search that helps reps systematically work through their leads.
We won’t go deep into saved searches here (there’s another video on that), but just know: combining folder locking with saved searches can make your team’s workflow incredibly efficient.
