With PhoneBurner, there are a lot of different ways you can help your team ensure they always have contacts or leads to call. You can teach them how to import data into their PhoneBurner account, transfer leads from your account to theirs, set up your account as a shared team account (so everyone has access to the same database), or take advantage of lead streams.
In this video, we’re going to focus specifically on lead streams, and more precisely, the distribution folder that’s unique to each lead stream. When deciding how to get leads to your team, it’s important to define when lead distribution begins — and that’s what the distribution folder is for.
There are different types of lead streams designed for different distribution methods, but every lead stream must start somewhere — with a distribution folder. Let's take a closer look.
First, go to Contacts. In the Contact Manager, click the gear icon in the upper-right corner and select LeadStream. From there, you’ll see your various lead streams, and you'll notice that each one has its own unique distribution folder. No two lead streams can share the same folder because one folder cannot manage multiple processes simultaneously. Every distribution folder is tied to a specific lead stream.
This video isn’t about the various lead stream types, but we are focusing on how the distribution folder is an integral part of any lead stream. It’s where everything begins. The distribution folder tells PhoneBurner: “These contacts should be distributed to my team in a particular way,” and the method depends on the lead stream type.
For example:
- A Blind Pull Lead Stream allows you to make a pool of leads available to the entire team. These leads stay in the admin account until someone on the team starts calling. Only when a team member begins dialing does the system distribute a lead from the admin account to that individual.
- A Preview Pull Lead Stream works similarly. The leads remain in the distribution folder within the admin account until a user actively claims a lead. Each user decides when and if they want to take a lead.
- A Round Robin Lead Stream is a bit different. Leads from the distribution folder are distributed evenly and immediately to team members. If you don’t set recipient limits, the folder can empty out quickly. You could put 10,000 leads in, and the system would assign them evenly across your team in seconds.
- A Lead Blitz Lead Stream still uses a distribution folder, which may be populated via manual imports, API, or Zapier integrations. Once leads are in the folder, the system notifies everyone: “Hey, there’s a new lead available. Claim it. Call it. Start working it.” If a lead goes unclaimed or everyone has reached their lead limit, it remains in the distribution folder.
So again, the distribution folder is the folder you assign to a lead stream. PhoneBurner monitors this folder for new leads. Depending on the lead stream type, leads are either distributed instantly, announced to the team, or held until someone starts calling.
