Standalone vs. Networked Account
- In a standalone account, each rep has their own database. If you transfer contacts to Heather, only she sees those contacts. Cassie won’t.
- In a networked account, everyone shares the same database. If you go to the “Network Blind Pull” folder as the admin and see 985 contacts, Heather and Cassie will also see 985.
Because of this shared visibility, networked accounts can cause reps to step on each other's toes unless you segment data properly—which is exactly what RoundRobin LeadStreams help with.
Creating a RoundRobin LeadStream
We’re going to set up a RoundRobin LeadStream to automatically and evenly distribute leads among the team.
- Navigate to the LeadStream page
(Reminder: In networked accounts, the LeadStream tab is hidden, so save it as a Quick Link or visit:phone.com/rotater/index) - Click “Add LeadStream”
- Name:
RR Networks - Type: RoundRobin
- You’ll skip the dialer preset here because RoundRobin doesn’t use one—it just distributes contacts.
- Name:
Folder Setup
- Distribution Folder: Create one called
RR Networks Distribution - Receiving Folder: Create
RR Networks RCV(though it won’t be used because we assign reps to their own folders)
We initially forgot to assign the distribution folder but corrected it, so don’t skip that step!
Assigning Recipients
Now assign recipients (reps), each with their own unique receiving folder:
- Jeff → Jeff’s Leads
- Heather → Heather’s Leads
- Cassie → Cassie’s Leads
Lock these folders to avoid confusion or accidental changes.
You may set daily lead limits. For example, assign each rep a 25-lead limit to control flow during testing.
Recycling Configuration
Enable recycling if you want unworked contacts to return to the distribution folder after a set time (e.g., 7 days). This ensures leads don’t sit untouched forever.
Importing Leads
Once set up:
- Go to Contacts > Import
- Map your fields
- Choose
RR Networks Distributionas the folder - Add a lead source (e.g., “RR Network”)
- Import the file
The system will begin distributing leads automatically as they’re imported.
If you imported 1,000 contacts and only see 925 in the distribution folder, the other 75 were evenly distributed to your reps (25 each).
Dialing with Assigned Leads
Log in as a rep (e.g., Cassie) and:
- Use a saved search (like “Cassie Call 1”) to find uncalled leads
- Select all and begin a dial session
- The system remembers the last-used dialer settings—not the default—so the first time, make sure to configure your default.
Cassie’s call set will:
- Use rep-specific dispositions
- Automatically move contacts to “Appointments” or “Follow-Ups”
- Apply a Cassie tag to the contact
Duplicates are scrubbed by default (e.g., if multiple contacts share the same number, only one gets dialed). You can override this in your settings.
Final Notes
- RoundRobin LeadStreams work well in a networked account if you segment by rep.
- Assign rep-specific folders to prevent overlap.
