📝 Walkthrough
Hello there — this is Jeff Osness, Principal Evangelist here at PhoneBurner, with a product update. I want to show you what's new in PhoneBurner. We've shipped a whole bunch of improvements over the last couple of months, all built to help you get more done in less time using the power of PhoneBurner.
This video is in two parts. In the first part, I'll walk you through a single page that lists every update with a short description of each. If you just want to see what was done and then go explore on your own, watch the first minute or two, find the things you care about, and get on with your day. For those who want to see me demonstrate each update, stick around for part two, where we go through them live. On the summary screen you'll see updates grouped into Contact Manager, Advanced Search, dialing and calling, reporting, team and admin controls, personal settings, and integrations and API. Feel free to pause and read the details for each one.
Now let's get into the full walkthrough. I'm in my Quick Start training demo account, so if you've watched our Quick Start videos, some of this setup may look familiar.
Reorder pinned Quick Views
If you take advantage of Quick Views, you probably love being able to pin the saved searches and folders you care about most to the upper-left of the Contact Manager. The catch used to be that they always displayed in the order you pinned them, with no way to rearrange. Now you can. Hover over any pinned item and you'll see a six-dot handle on the right — grab it and drag the item up or down. They're all reorderable.
Add a contact: Save & New and Save & Open
Most of us import contacts, but if you add them manually this is a nice one. When you add a contact, you'll now see two options at the bottom: Save & Close and Save & New.
- Choose Add a Contact, enter the contact's details, and pick the folder to drop them into. If a number matches an existing contact, the system flags it as a potential duplicate.
- Click Save & New to save that record and immediately start a new contact — great when you're adding several in a row.
- Click Save & Open to save the contact and jump straight into their record so you can start working the lead right away.
Clickable www. website links
While adding a contact, open View/Hide Custom Fields and enter a website — for example www.phoneburner.com. Any text field can hold a website address, and PhoneBurner gives you a clickable button to launch it. Previously that button only appeared if the address started with http://. Now a www. address counts too, so the link is clickable — both in the contact details and inside a dial session.
Document-count badge
Open an existing contact and look at the Documents tab. It now shows a small badge indicating how many documents are attached to that contact. As you use the documents feature to store files on a contact record, you can see at a glance whether a record has documents — no need to click into the tab to check.
Pin a note to the top
Still in the contact record, open the notes and click View All. You can now pin a note within a contact record. Pinned notes always stay at the top; all other notes remain in chronological order. You can pin multiple notes, unpin them (they drop back into their original order), and pin or unpin notes while you're in a dial session — so the note you need is right at the top when you're on a call.
Edit the contact-details layout
Back on the Profile tab, click Edit Layout. You can add columns to create a wider or narrower arrangement and drag sections around — for example, move custom fields to one side and contact information to the other. When you're done, click Done and the system saves your arrangement, so the profile always displays in the order you set.
Reset Call Attempts
Say a contact has 17 total call attempts and you want to start them fresh in a new multi-call saved-search flow. Open Actions on the contact and choose Reset Call Attempts. You can also select multiple records in the Contact Manager and use Actions → Reset Call Attempts to reset in bulk.
Team setting: control who can reset call attempts
If you're a team admin, you may not want reps resetting call attempts on their contacts. Go to your team Users section, edit a team member, and look in the Contact Permissions section. There's an option that allows that rep to reset call attempts. It's off by default for everyone; flip it on for any user you want to grant that ability.
Supervisor enhancements
In the Supervisor section we've made some major enhancements to the supervisor role. A supervisor can now be granted the ability to:
- View, access, and create custom reports (in addition to standard reports).
- Access the ARMOR® dashboard.
- Manage organization LeadStreams.
That last one deserves a clear explanation. Supervisors have always been able to create their own LeadStreams, assign the team members they supervise to them, and manage and report on those personal LeadStreams — that doesn't change and requires no setting. The new Manage organization LeadStreams option is different: it lets you, as the admin, give a supervisor access to edit, manage, and report on the LeadStreams you created in your admin account. So there are two separate things — a supervisor's own LeadStreams (always available) versus your organization's LeadStreams (this new toggle). You can turn it on and off freely without breaking anything; if a supervisor flips it on and no longer sees their own LeadStreams, just turn it back off.
Clear a login lockout
Also in a team member's details, an admin can now clear a login lockout. If someone enters the wrong password five times in a row, they're locked out. Previously you or the user had to contact support to clear it. Now, at the top of the user's record (near the "log in as" option), click Clear Login Lockout and confirm — they'll be able to log in again. If they've also forgotten their password, reset it: click the password field, enter a new password, and click the check mark to confirm. (Note: if you get locked out, you'll still need to contact us to clear your own account.)
Share and reorder Quick Links
Quick Links are different from Quick Views. Quick Links live in the upper-right of your page and are shortcuts to the PhoneBurner pages you use most (or any URL you choose). Previously they were stuck in a fixed order.
First, as an admin, go to Customize & Share and turn on sharing of Quick Links. When sharing is on, the Quick Links you create in your admin account can be shared with your team — and you choose which ones to share, since some only matter to you while others matter to everyone.
From there, you and your team members can reorder Quick Links by drag-and-drop, or sort them by title. You can reorder individually or sort them all by title — however you prefer.
Email settings: connected address and library sorting
In Settings → Email:
- On the Custom Email Sending Server page, you can now see the exact email address connected to your custom sending server. Previously it just confirmed you were connected; now it shows the specific address.
- In the Email Library, you can now sort by Date Created (or newest first) in addition to A–Z, or drag and drop to reorder.
Inbound ring duration
In Settings → Inbound, go to Ring Duration. For premium account holders taking inbound calls, this controls how long a call rings before it gives up (and, if enabled, goes to voicemail). Important detail: this does not change how quickly your cell phone goes to voicemail — your cell will only ring for its own set time. But if you have voicemail enabled here in PhoneBurner, your cell's voicemail picking up won't take over the call; PhoneBurner keeps ringing your other locations (in-product and in a dial session) until this ring duration is reached, and only then sends the call to PhoneBurner voicemail.
Skip duplicate numbers in a dial session
In Dial Session Settings, note first that the outbound Ring Duration here is a long-standing setting (how long outbound calls ring in a dial session) — don't confuse it with the inbound one above. The new setting is Skip Duplicate Numbers. If a contact has the same phone number listed more than once (say, office and home are identical), you may not want to call it twice in a row. Some people intentionally do — that still works. But if you only want to call that number once, flip this to Yes, and a dial session will call a repeated number only one time.
Voicemail Library sorting
Open the Voicemail Library on the left of Dial Session Settings. You can now sort by name or by date created.
Advanced Calling Times
Click Calling Times — there are a couple of really useful enhancements here. The system default has always been 8:00 a.m.–9:00 p.m. in the prospect's time zone (based on where their phone number is registered). As an admin you could set allowed calling times for your team, but only for the members you had at the moment you set it. Now you can apply calling times to all current and future members. (You assume full responsibility for the hours you set — especially if you widen them. Don't set it to 6:00 a.m. and then be surprised the system lets you call people at 6:00 a.m.)
The bigger enhancement is default hours per day plus lunch breaks. Switch to Default Hours Per Day / Add Lunch Break to manage everything per day. Set different hours for each day — for example, Monday 8:00 a.m.–5:00 p.m., Tuesday something different. Times are now in 15-minute increments (previously 30), so you can be more precise. And you can add multiple windows per day to build in a lunch break: for instance, call from 8:00–11:45 a.m., pause over the lunch hour, then resume 1:15–5:00 p.m. This is great if the people you call are unavailable at midday (restaurants, for example) — let the system focus your effort on when people are actually reachable. Once a day is set, click Copy to all weekdays to apply it across Monday–Friday, set weekends separately if you like, and hit Save Changes. Now your team won't be dialing during that blocked lunch window.
DNC "Date Added"
In the DNC section of Dial Session Settings, you can now see when a phone number was added to the Do-Not-Call list — handy for a quick glance at when a number landed there.
Default Advanced Search to your current folder
Go to Contact Settings. The default Advanced Search to your current folder option means that if you often view a specific folder in the Contact Manager and then want to run an Advanced Search on just that folder, you no longer have to keep re-selecting the folder each time. This is off by default (most people are used to the current behavior and we don't want to disrupt it), but if you're constantly matching the search folder to where you just were, turn it on.
To see it in action: open a folder in Contacts, then open Advanced Search — the folder is already selected. Switch to a different folder, open Advanced Search, and that folder is selected instead.
Advanced Search: find missing information and keep dropdowns open
Two more Advanced Search improvements:
- Personal Information: you can now search for contacts that do or don't have a first name, last name, email address, or phone number — four fields you can filter on to find incomplete records.
- Multi-select stays open: in the Location Information section (and all the multi-select dropdowns — tags, statuses, and the like), selecting multiple values keeps the menu open and in place. Pick Pacific, Mountain, Arizona Mountain, Eastern, and so on without the menu closing after each click. A small thing, but it saves time.
Run the search to pull your list of contacts to call.
In the dial session: Mute, live dashboard, Emails Sent, and Return to Dial Session
Start a dial session to some sample contacts.
- Mute button: once you're connected to someone, you'll see a Mute button in the dial session window. Mute your line so they can't hear you, while you can still hear them — different from placing someone on hold.
- Live team dashboard: go to Team while on a live call and you'll see that the rep is connected, and how long they've been connected. End the call and the dashboard switches to show how long they've been waiting in the between-calls stage.
- Emails Sent on the report: under Reports, open the Standard Dial Sessions report. It now shows how many emails were sent — choose a date range with activity and you'll see, for example, 41 emails sent by that user, matching what the user sees when logged in.
- Return to Dial Session: when you start a dial session, an orange Return to Dial Session button appears, making it easy to jump back to the dial session window. It disappears on its own once the dial session is closed (it periodically checks whether a session is still open), or if you try to return to a session that's already ended.
Disposition the call, end it, and end the session.
Register a softphone integration
Go to Settings → Integrations. There's a new softphone integration option. If you're building your own CRM — or building an integration into your own CRM with PhoneBurner — you can now add click-to-call and inbound calling (receiving PhoneBurner inbound calls for your customers) right inside your CRM. Register a new softphone integration and you'll get all the details you need to make it work in your own system. We won't go deep here, but know that the capability is available.
Click-to-call in Zoho
Let's see it in a third-party system. Our Zoho integration has long let you begin PhoneBurner dial sessions from Zoho — and now it also has click-to-call. Click to call a contact directly from Zoho and the PhoneBurner click-to-call menu appears. Make the call, have the conversation, then disposition it and add a note. For Zoho users, this creates a note activity on the record — so after refreshing you'll see the note and the disposition. This is live in Zoho today.
HubSpot click-to-call, notes, call outcomes, and call/meeting types
Our HubSpot integration works through a Chrome extension that lets you begin a dial session or call individual contacts from HubSpot and other CRMs — and it now includes click-to-call as well. Begin a dial session to a company record; the extension opens, you make your choices, and once connected it takes you to the contact record so you can edit it and add a note in the session. End the call, set an appointment, and the activity logs. A few things to note about that call activity:
- Notes: the notes you make in the dial session are now included in the logged activity.
- Call outcomes: if your HubSpot call outcomes match your PhoneBurner call statuses, PhoneBurner automatically sets and links those values (some of you already knew this).
- Call / meeting types (new): if you use HubSpot's call-type or meeting-type feature, go to your PhoneBurner HubSpot integration settings and you'll see a new Meeting Types section where you can map specific dispositions to a HubSpot call type. In the demo, the Set Appointment disposition is mapped to the Business call type — so any matching status is mapped to that call type in HubSpot automatically.
API: transcript ID and summary on dial sessions and calls
The last update is API-related. In Postman, when you fetch a dial session, you can now include transcripts and get back the transcript ID and transcript summary. The same works when you fetch a call — include transcripts to get the transcript ID and summary.
