The next time you sit down to make outbound calls, how would you like to complete them three to four times faster than usual? Imagine making 34 phone calls in 32 minutes, connecting with eight people, sending 15 emails, and dropping seven voicemails. Wouldn't that be great? That would save you an average of 50 minutes of time!
I'm going to show you exactly how this is done. But first, let's review the details of this specific dial session. During this session, we dropped voicemails, left live voicemails, and encountered many people who didn’t answer. However, every time we made a call to one of these contacts, an activity was logged, and records were updated in Zoho, ensuring our database remains up to date based on previous call outcomes.
Let me show you how to take advantage of PhoneBurner within your Zoho CRM.
Installing PhoneBurner in Zoho CRM
The first step is installing the PhoneBurner app from the Zoho Marketplace. Once installed, you can load any lists from the contacts module, leads module, accounts module, or any standard module within Zoho CRM. If you use a custom module, PhoneBurner can work with that as well.
Regardless of the module, you’ll create lists that define the specific records you need to reach out to. For example, I have a prospecting list. When I load this list, it displays people I need to follow up with. I select the records and click the PhoneBurner button—this button is added to your system when you install the app from the marketplace.
Clicking that button initiates a PhoneBurner dial session, queueing up the selected records for calling. Before starting a dial session, you can configure several settings, such as:
- Displaying a call script on the screen.
- Customizing dialing and live answer options.
- Setting up dispositions to log call outcomes back to Zoho.
- Dropping pre-recorded voicemails.
- Using your own caller ID or purchasing one from PhoneBurner.
- Recording calls for quality review.
Connecting with PhoneBurner
Connecting is simple. You have multiple options:
- Use your computer’s microphone through your browser.
- Use a phone—your cell phone, home phone, office phone, or even a softphone.
For this example, I’ll use the browser connection. Once connected, my records are queued, and I press the Start Dialing button. The system begins calling the selected contacts.
- If a call goes to voicemail, I click the voicemail button. I don’t have to listen to the entire greeting or wait for the beep—I move on to the next call instantly.
- If a contact has multiple phone numbers, the system automatically moves from the first number to the second.
- If I want to leave a live voicemail, I wait for the beep, record my message, then move to the next call.
- If a contact doesn’t answer and I don’t want to leave a voicemail, I click the No Answer button and move on.
Voicemail and Email Automation
The Voicemail and Email button automates follow-ups. When I click it, PhoneBurner automatically sends an email to that contact while I continue dialing. This feature saves time by keeping outreach consistent and efficient.
Handling Live Calls
When a live call connects, there’s no delay, no pause, and no awkward silence. I click the Live Answer button and proceed with the conversation. After the call, I can take as much time as needed to update the record with notes and details.
All Zoho fields are brought over to PhoneBurner, including custom fields. For example, if a contact isn’t associated with an account, I can still update their details, such as their Integration Type or Lead Status. When I select a call disposition, these updates are pushed to Zoho in real-time.
Call Disposition and Follow-Ups
Dispositions update records in Zoho automatically. If a contact needs a follow-up, I select a date before finalizing the disposition. If I try to close a lead without scheduling a follow-up, the system prompts me to pick a date, ensuring no prospect falls through the cracks.
Call Transfers and Hold Options
If I need to transfer a call, I can:
- Put the contact on hold while I speak to a colleague.
- Use the warm transfer feature, where I brief my colleague before merging the calls.
- Privately consult with either party before merging the call.
Once the transfer is complete, I can leave the call and move on while my colleague continues the conversation.
Zoho CRM Updates
After dispositioning a call, PhoneBurner automatically logs updates in Zoho. Let’s check on a previous contact, Mr. Green Lantern, whom we spoke with earlier.
After refreshing the record, we see:
- PhoneBurner Follow-Up Date updated automatically.
- Last Call Time and Call Outcome fields updated.
- Lead Status changed to “Closed.”
- Integration Type updated to Zoho.
- Custom fields updated accordingly.
- A call activity and call recording logged in the CRM.
These updates happen automatically because PhoneBurner creates these fields upon installation. If you use custom modules, you can create fields with the same names for seamless integration.
